1.       Call to Order

4.       Reports

·         President’s Report (Kevin Phelan)
Kevin was not in attendance, as he was in Maine for a work commitment.  Michele noted that she would be conducting the meeting.
 

·         Correspondence (Wendy Hudson)
Wendy was not in attendance. 

·         Principal’s Report (Liz MacDonald)
Liz was not in attendance. 

·         Treasurer’s Report (Tammy Webb)
Tammy noted that we have a little over $12,000 in the bank and the budget calls for $16,000 to still be spent.  She stressed the importance of all of the fundraising efforts to come – SaveAround Coupon book sales (5th graders), Shorty’s, BJ’s membership, Barnes & Nobles event and Spring fundraiser.   An additional $5000 needs to be generated to make the current budget for the year work.

Tammy confirmed the following income from the on-going Shorty’s fundraiser:
November - $131
December - $65
January - $35
The February Shorty’s event was NOT going to be held on Valentine’s Day, but the reschedule date was unknown at the time of the meeting.  It was suggested that the Shorty’s fundraiser flyers be sent out a few days prior to the date of the fundraiser as a reminder.  Info re the fundraiser to be added to the PTO website and email reminders to be sent out. 
The dates for the upcoming Shorty's Fair Share events are Monday, March 14th and Monday, April 11th.

·         Box Tops, Campbell’s (Dee Kinney)
Dee was not in attendance.  She did forward info regarding Campbell’s cookbook sales and every cookbook purchased would result in our school getting 125 Labels for Education points.  No limit on sales.
 

5.       Old Business

·         SaveAround Manchester Coupon Books
Anne Desaulniers noted that the 5th grade SaveAround coupon book fundraiser was successful with 201 books being sold.  Mrs. Phelan’s class was the top selling class.  Mrs. Earle’s class came in 2nd.  $1828 was raised.  Rolling out the fundraiser to the entire school in the future was discussed.

6.       New Business

·         Sweet Heart Dance
Jess Hawkom noted that everything was in order for the dance and that it now pretty much runs itself now.  The DJ was lined up and confirmed.  Curtis Shae (sp?) will be doing the decorations.  Curtis provided Jess with a shopping list and all items were purchased.  Volunteers are lined up for setup and cleanup.  Both sweet treats and healthy snacks are being donated. 

Anne Desaulniers to provide clear jar to collect $1 entrance free.  Money generated to go to the 5th grade class.  Donation basket to be located by food for any additional donation collections.  Anne will be taking care of ordering carnations to be sold by 5th grade class.  Raffle to take place at the carnation table for a FREE SaveAround Manchester coupon book. 

170 people confirmed to be in attendance, as of the date of the meeting, but RSVP slips were still being collected.  Ms. St. Pierre and Mrs. Hunter will man the entrance table.  Setup to begin at 3 p.m.  Karen Cusson offered to remind the YMCA program leaders of the upcoming dance and setup.


·         BJ’s fundraiser
Kevin will be sending home a notice regarding the BJ’s membership fundraiser.  Typical membership is $45 for one year, however through Weston a membership for 15 months can be purchased for $35 and the PTO will get $5 per membership purchased. 

·         Barnes & Noble
A Barnes & Noble event night will be scheduled as a new fundraising effort.  A reader will be lined up to share a children’s story.  Vouchers will be handed out to those who attend.   If a voucher is provided at time of purchase, 10% of the sale will go to the Weston PTO.  Barnes & Noble has confirmed that this is typically a very successful event, with the target of $1000 to be generated for each participating organization.  Event to be scheduled towards the end of the school year. 

·         Spring Fundraiser
Jenn Steele noted that the Fundraising Committee met to review and discuss potential new fundraisers to be rolled out this Spring.  This fundraiser will replace the Yankee Candle fundraiser that is typically done in the Spring.  Cherrydale, Genevieve, Fast Track and Uncle Jerry’s T’s were discussed.  Genevieve was the front runner with both a Boston Coffee Cakes and Crabtree and Evelyn insert.  Genevieve also will do a kickoff with the students at the school, and the company offers a CoCo Key water park day pass for all sellers with sales of 6 items or more.  One overnight CoCo Key water park gift certificate for a family of 4 is also given as an incentive – distribution to be determined by the PTO.  A decision on which fundraiser will be rolled out will be made at the March 1st meeting.  The fundraiser to take place at the end of March.

·         Teacher Grants
Annmarie Briggs will be rolling out the Teacher Grants soon.  Requests will be gathered from the teachers, but will not be fulfilled until we have a better understanding of fundraising results and budget impact.

7.       Adjournment
Meeting was adjourned at 8:07 p.m.  Michele Carrier motioned to adjourn.  Lynn O’Donnell seconded the motion and all were in favor!
