4.       Reports

·         President’s Report (Kevin Phelan)
Kevin noted that in the interest of time there would be no report presented, but we would rather jump right into the meeting.

·         Correspondence (Wendy Hudson)
Wendy noted that a thank you note was sent to the Weston family who donated the hot dog buns for the Fall Family Festival.  The names and addresses for additional thank you notes to be sent should be sent to Wendy’s attention, along with an explanation of why the thank you is to be written. 

·         Principal’s Report (Liz MacDonald)
Liz was not in attendance at the meeting, as she was out of town. 

·         Treasurer’s Report (Tammy Webb)
Tammy noted that she didn’t have a solid # to report.  She has had a lot of monies coming in from fundraising and t-shirt sales, but she did not yet have finalized #’s to share.  Tammy did note the importance and necessity of having a board member’s signature on all check requests, as checks will not be issued without the needed signature.

5.       Old Business

·         Fall Event Wrap Up
The Fall Family Event was a huge success.  Anne noted that the event brought in $398 with an additional $20 in donations being received, all of which will go towards the creation of holiday food baskets for those families in our school that are in need.  Twenty eight families showed up at the door.  The general consensus was that the Sunday afternoon slot was a good one, as long as we continue to schedule around the Patriots games and possibly the NASCAR race for next year.

·         Open House
The PTO presentation in the gymnasium during Open House went well.  Denise Sherwood from Market America attended and handed out leaflets re the portal program.  Eight coupon books were sold during Open House.  Order forms for t-shirt/sweatshirt sales were available with several orders being placed.

                                                               i.      Tee-shirts
Michele received an overwhelming interest in t-shirt/sweatshirt sales with over $2000 being collected, approximately $300 of which will be profit for the PTO.  The deadline for sales was extended from October 1st to October 5th, with the order being placed on 10/6.  T-shirts/sweatshirts will be distributed to students at school as soon as the shipment is received.  Michelle will possibly be placing another order for t-shirts/sweatshirts in the Spring, so students will have another chance to order.  The idea of having the t-shirts/sweatshirts be different colors for Spring sales is being considered.

                                                             ii.      Coupon books
Jamie touched base with Liz and they have plans to meet with the 5th graders after the completion of their NECAP testing re coupon book sales.  Jamie will be putting in some thought on sales incentives to be offered to the 5th grader sellers.  If each 5th grader sells 3 coupon books, the line items in the PTO budget for 5th grade programs and celebrations will be covered.  The PTO will continue to help in the sales efforts by having the books available for sale at PTO events.  It will be advertised when the books will be available for sale – the next event being Bingo Night.

6.       New Business

·         Fundraising Update (Jenn Steele)
Jenn noted that she is in the process of wrapping up the Cherrydale fundraiser orders.  The majority of the money had been handed over to Tammy.  It was too earlier to have final numbers, but it does appear that the fundraiser was more successful this year than last. 

·         Bingo Night Preparation Update
Michele solicited volunteers to help with Bingo Night that is scheduled to be held on Wednesday, November 10th at the school.  Donations of prizes to be given away as part of the lollipop tree initiative are now being accepted.  Michele mentioned that she is looking for a shadow for the planning of this event, as she has done the event for several years and would like to step down as the Chair of this committee.  Anyone interested in shadowing should contact Michele directly.
 

·         Coat Drive Volunteers?
All PTO members in attendance were in favor of holding the annual coat/winter outwear drive this year.  Karen Cusson offered to chair the event.  Amy will be providing Karen with information about the event and electronic copies of prior year coat drive flyers.

·         Tiger Program Scheduled
The Tiger Program
(Theater Integrating Guidance, Education, and Responsibility) assemblies have been scheduled for Wednesday, November 10th with one being held in the morning for K-2 and one for grades 3-5.  For those not familiar with the Program, the Plymouth State University website notes the following:
Based entirely upon the anonymous writings of New Hampshire school children, a TIGER performance incorporates live actors, puppets, theatre, movement, and music to engage school audiences from K-8. By using childrens’ own words, TIGER enables children to hear their own voices as they step back from the experiences of bullying and the intolerance of individual differences to move into more positive social interactions at school and in their community. 
The Program scheduled this year is “Star Shine.”

Kevin noted that by paring up with the Webster school, we are receiving a discount of $150 on each of the program performances, in addition to travel costs being halved with Webster.


·         Thanksgiving Baskets
Lynn O’Donnell will be chairing the holiday basket committee.

·         Yearbook volunteers
Anne noted that she has a list of interested volunteers for the Yearbook committee, however, she will also be preparing and sending a letter home with all 5th graders to solicit additional volunteers.  Anyone interested in helping with the yearbook should contact Anne directly at basicallybroke@comcast.net.

·         Box Tops/Campbell’s/Tyson/Hannaford Helps School Dollars
Dee noted that Box Top collections have totaled 9,647 so far this year.  She stressed that people should NOT hold onto Box Tops, as they do expire.  Dee noted that Mrs. Duffy’s classroom lost out on over $30 this year due to expired Box Tops that cannot be accepted.  Box Top volunteers need to have tally sheets and collection envelopes back to Dee no later than October 20th.  Information regarding collection totals per classroom will be added to the PTO website and updated on a regular basis throughout the year.  Totals per classroom will be available to each teacher.  Box Top submission deadlines and important dates will be advertised.

The Campbell’s initiative is progressing nicely, as we are ¾ of the way to recouping what was cashed in April 2009.  Dee noted that she is going to be diligent about submitting the labels collected prior to December 31st and that by January 1st, we will have over 18,000 points back in the bank.  Dee will be asking Mrs. Mac to take a look at the catalog, so that points can be redeemed.

Dee noted that the Tyson zip strips were now being sent in since people were told about the initiative.  She also noted, as a side, that her son was present to receive the check from Bob’s Discount Furniture that was presented to Mrs. Mac and that he got to participate in the filming of a Bob’s commercial. 

Michele noted that 51 Hannaford Helps School Dollars had been collected to date.  Keep those receipts coming in to the school!

In addition, Karen Poblenz mentioned the Target check card program where 1% of every purchase can be saved.  Applications can be obtained at Target.  Be sure to bring a blank check to sign up for the program on site at Target.

7.       Adjournment
Meeting was adjourned at 8:20 p.m.  Lynne Goodchild motioned to adjourn.  Amanda Ducharme seconded the motion and all were in favor!
