WESTON SCHOOL PTO - MINUTES

MONDAY, NOVEMBER 2, 2009

TIME 7:00 P.M.

1.         CALL TO ORDER AT 7:12 P.M. BY PRESIDENT KEVIN PHELAN

2.         INTRODUCTION AND WELCOME BY KEVIN PHELAN; ALL IN ATTENDANCE WERE: Amy Merrow, Kevin Phelan (PTO President), Michele Carrier (PTO VP), Andrea Haddad, Wendy Hudson (Correspond Secry) , Kim Overby, Jason Overby, Joe Briggs, Jess Hawkom, Jenn Steele, Tammy Webb (Treasurer), Becky Burke (Secretary), Anne Desaulniers (Volunteer Coordinator), Amanda Ducharme, Julie Mark, Melissa Carver (Historian), Jen Lenox, Karen Poblenz

3.         Minutes from October meeting were approved by Jen Lenox, seconded by Amy Merrow.

4.         Reports:

            President Report (Kevin Phelan): Kevin discussed the upcoming busy month of November.  These events include a Book Fair, Bingo Night, and two days off. 

            Principal: Nothing to report/Principal and Vice Principal not in attendance

           

            Corresponding Secretary: (Wendy Hudson): The only correspondence received was fundraising material.

            Treasurer’s Report: Tammy Webb presented the current balance of $23,000 after the fall fundraiser.  A check will be going out to Cherrydale, and there are a few outstanding checks to cut, to make our balance at roughly $14,000.  Tammy has new forms for cash receipts to keep track of donations, etc.  Please find report attached.

            Campbell’s LFE: Dee Kinney:   n/a  Dee was not at the meeting to report

            Hannaford School Dollars: (Michelle Carrier, VP) – We have collected $137.00 to date for this, which is very, very low compared to years past.  If our school collects the most Hannaford $ we get a $1000 bonus donated to our school.  So please, remember to check your receipts after shopping at Hannaford and send them in to your teacher. 

5.         Old Business:

            Weston PTO Web Site: Still waiting for authorization from Mrs. Mac to have parent involvement/help getting our Website current.

            Candidate Forum: Our attempt to get our candidates to school was unsuccessful because of time constraints.  There was just no time to gather everyone together for this after receiving authorization.

6.         New Business:

            Fundraiser update:  (Jen Lenox); We had a total of $18,000 in sales for our Cherrydale fundraiser which was down from last year; We will be writing a check to Cherrydale for a % of that. We had two bad checks, but are collecting on these; We had a difference in participants this year of roughly 50 less children participating.  The exact numbers were:  Last year 221 participated; and this year 174 participated.  These numbers do not include the additional 100 students we have acquired this year.   With these numbers we will have to reconvene with the budget committee to be sure we have enough money for the remaining events for our school year, to include end of year festivities for our 5th graders. Although, it was out of our control, we apologize for the late arrival of this fundraiser.  Thank you to all who participated. 

            Yankee Candle Update:   Moneys are to be collected November 4, 2009 and immediately sent to Yankee for distribution before Christmas.  There was an overall great response to this fundraiser.  It helps our children and it helps us parents with the Holiday shopping we have coming up.  Although this crossed with our Fall Fundraiser, we anticipate this making up for the numbers we lacked from the fall fundraiser funds.  The exact numbers will come out next month.  Thank you to all who took advantage of this for yourselves while also doing good by our students.  Every cent we make on these fundraisers goes toward programs and events for our children.  We take great pride in putting forth all efforts to making our children’s school comfortable, friendly and fun. 

            Bingo Night (Michelle Carrier):  Bingo Night is an amazing evening for our Weston Families.  It will be held November 12, 2009 from 6:30 to 8:00.  It is free admission with a donation of a canned good for our Thanksgiving Drive.  Boxes will be at entrance as well as raffle tickets.  Our raffle prizes this year include exciting items such as an American girl doll, IPOD, Nintendo DS, Autographed baseball paraphernalia and more.  Throughout the evening there will be multiple chances to win all kinds of prizes.  Don’t miss out on this great event.    

            Thanksgiving Baskets: (Becky Burke): Each year the PTO and community get together to donate baskets of Thanksgiving meals to our families in need.  The bulk of the ingredients comes from Bingo Night canned goods donations.  We also rely on donations from local supermarkets.  We have received $100 in donations thus far.  We will be sending letters out to each classroom asking for a donation of a certain items on the list.  We expect to make a lot of hearts happy again this year with our generous community response.  It is a pleasure to work with such a hardworking group of individuals who strive to make Weston School as great as it is and more.  If you received your fall fundraiser in a box, can you please return those boxes to the school so we can use them to hold our items for this drive.  Thank you.
